Tell Me More!

hello!

If you feel like you live your professional life in a never-ending meeting, you’re not alone. For mid-level managers, more than one-third of office time is spent in meetings. For upper management, make that 50 percent. The more revealing issue with meetings is when you think about the productivity (or lack thereof) that comes from those chat sessions. When was the last time you honestly walked out of a conference room or hung up on a webinar call and thought, “That was a great use of time. I have several solid goals to go work on”? Yeah, we didn’t think so.

If you want to make your work meetings more productive, utilize Asana. Asana is an online, keeps-up-with-everyone-because-you-don’t-have-time, tool. This system manages your big picture projects by assigning (and tracking) smaller, specific tasks. Stop using meeting time to “check in” on your team’s progress and only meet when it’s time to take action. Here’s how Asana can help make your meetings more efficient.

  • Stop having so many: We love warm donuts and coffee as much as the next cubical groupie, but cream-filled pastries are no reason to waste two hours of your day. With Asana’s Timeline feature, you can assign specific team members individual tasks, communicate updates and ask questions all from within the Asana platform – no meeting necessary.

  • Talk to the action takers: Because you can communicate with team member associated with a specific project, it’s easier to organize a meeting (when you actually need one) with those people. Free your team of the meetings that leave workers questioning why they were even invited. Meet with only the folks who know the project, are making decisions and need to collaborate to meet the end goal.

  • More organized: With Asana, you can organize your meeting agenda items in newly created sections or columns. Prioritize the items before the meeting, and refer to Asana during, to stay on task.

  • Next steps: Asana will keep you organized after the meeting because you can take notes and create follow-up and upcoming tasks so each team member knows what their next step will be when they leave the meeting. (Tip: Display Asana during the meeting so attendees can walk through the agenda with you – and see light at the end of the meeting tunnel).

By utilizing Asana before, during and after your meetings, you’ll create measurable goals and your team members will be on the same page with who is assigned which task. Lead your meetings rather than get stuck in them with the organization Asana offers.

Keep in mind that Asana isn’t just for group meetings. You can use the tool for one-on-one reviews or performance discussions. Organize an agenda for the conversation, and because Asana integrates with numerous file systems, you can attach work samples or an employee review form to reference during the meeting.

People on average spend four hours a week preparing for status meetings. How much more productive would your company be if it took 60 seconds to type in a status update in Asana instead of prepping for a meeting they don’t want to attend anyway?
